Good UX writing starts with people, not systems. It brings together clear language, helpful guidance and the right tone at the right moment. Why did we invest in training this? Because great software has to be as convincing in its language as it is in its design.
How do we guide users clearly and intuitively through complex processes in our software – such as a loan application? Which terms provide orientation? Which cause confusion? And how do we craft copy that is not just clear and concise, but genuinely helpful? These are exactly the kinds of real-world product challenges we brought to the table in a UX writing course with Kira Leuthold from The Gondola.
Beyond the basics – striving for excellence
UX design has long been firmly established at FINNOFLEET Switzerland. The focus now is on taking the user experience to the next level through purposeful UX writing. Together with our Business Analysts, Product Owners, R&I leads and Marketing team, we took a deeper look at the finer points of UX writing. Because great UX means more than intuitive interaction with visual elements – language, too, can provide orientation and help users reach their goal faster.
You're probably familiar with the classic "Forgot your password?" prompt. Is it clear? Perhaps. Is it helpful? Not necessarily. So ask yourself: what does a user actually need in that moment? Orientation, reassurance, a clear next step.
Small words. Big impact.
One of our key takeaways was that reducing copy is not the same as stripping it of value. When character counts are tight, the real craft begins. And it demands empathy – for the moment within the user flow, for the expectations users bring with them and for the barriers they may face. We analysed common patterns such as "Sign up for free" and asked ourselves: do users actually understand what this means? Or does the message create false expectations? This brought us straight to the heart of UX writing: language that feels like a conversation – clear, human and honest. And of course, we adapt our tone depending on where the user is in their journey.
